If gift cards are needed for Emory business, the preferred methods to procure gift cards is through the Amazon Gift Card Punchout and the Blackhawk Network Punchout in Emory Express.

Amazon Gift Card Punchout

The Amazon Gift Card Punchout functions like the main Amazon Business Punchout, except it will require credit card payment as opposed to payment by invoice/speedtype. The Punchout has a limited selection of digital and physical gift cards, and most physical cards do not incur shipping charges.

The Amazon Gift Card Punchout should only be used for purchasing gift cards The Amazon Business Punchout should be used for all other Amazon purchases. To ensure that Amazon accepts your gift card order:

  • Accurately enter credit card information;
  • Be mindful of your credit card's transaction and card limits; and
  • Approve requisitions within 7 days of cart creation.

Blackhawk Network Punchout

This Punchout replaces Emory's prior National Gift Card (NGC) Punchout and provides a large selection of physical and digital cards. Purchases are paid via invoices using departmental speedtypes. However, there are some critical things to remember when using the Blackhawk Punchout.

  • Blackhawk gift card purchases are final. No changes, returns or cancellations are allowed;
  • Emory legally owns gift cards upon physical gift card shipment or digital card email. To reduce financial loss associated with physical card theft or mail loss, please consider digital cards;
  • Invoice approval must be completed on POs >=$5,000 immediately. Blackhawk can place the campus on credit hold if invoices are not paid within 7 business days;
  • Registration in Hawk Marketplace will be required before digital orders can be downloaded. Please follow the instructions in this video link to register.
  • Tracking numbers currently can only be obtained by emailing Blackhawk Customer Support at DL-PunchoutSupport@bhnetwork.com
  • Significant shipping charges apply to physical gift cards. Consider digital gift cards.
  • Visa cards expire 12 months after the date they are received by Emory. Balances will neither be reinstated nor applied to new cards;

Gift Card Notes and Processes

Federal Research Funds should not be used to purchase gift cards unless the recipient is receiving gift cards as compensation as part of a Research Study.

  • Ensure purchase of gift cards for faculty/staff complies with Emory's Employee Gift policy (2.18).
  • Create/submit a Gift Report in PeopleSoft HR prior to placing order in Emory Express per the instructions.
  • Complete an Emory Express requisition and include the following in the internal notes:
    • The name of the recipient
    • The reason for the gift
    • Email approval from Payroll of your Gift Report in PeopleSoft HR
    • If gift card recipient is an Emory student, relay whether student is currently being paid by Emory as a student worker or stipend recipient.

  • Ensure purchase of gift cards for Human Research Study Participants complies with Emory's Payments to Human Research Study Participants policy (7.28).
  • Complete an Emory Express requisition and include the following in the internal notes:
    • (Do not include the name of the study participant)
    • IRB Number and/or Study Number
    • The reason for the gift

If using the Blackhawk Network:

  • Step 1: Create a Hawk Marketplace User Account
    • You will receive a registration email from Hawk Marketplace after placing your first virtual order
    • Act immediately. The email registration link expires in 24 hours
    • Use the email link to choose a password
    • Set up a multi factor authentication
  • Step 2: You will receive an email when the order is ready to retrieve.
  • Step 3: Log in: HawkMarketplace
  • Step 4: Click on 'Order History' on the left-hand navigation.
  • Step 5: Select order # and click on View Details
  • Step 6: Click 'Details' in black navigation bar and click 'Download.'
  • Step 7: You will be emailed a security code to gain access to the zip file.
  • Step 8: Once you enter that security code, you can successfully download the codes.
  • Step 9: Purchaser is responsible for distribution of e-codes to recipients.

If using the Amazon Gift Card Punchout:

  • Both eCards and eCodes are available through the Amazon Gift Card Punchout.
  • eCards require that an email address be entered for each card.
  • eCodes are emailed to the email designated at the time of ordering and will be presented as an excel spreadsheet.
  • eCodes can also be found in the My Orders section of the punchout for spreadsheet download.
